Course Sets are a great way to ensure unified content across multiple programs, and we understand tat over time they may change. Currently, with Course Sets, it is not recommended to use the versions as CM will always reference the most recent version wherever it is linked - but instead to create a new Course Set.
Most institutions will then append a year or term to the end of the title - although it is understandable that this may not be desirable as it would impact the way it appears within the Catalog. With Course Sets, whatever text is used for the title is exactly how it will appear in Catalog. You could provide them the same title to avoid disrupting the catalog, although this would make it difficult to identify which one you are trying to link to a program.
If you need them to maintain the same title, but need to use a different course set to manage versions between years - you can use the Terms to tell them apart (although they won't do much else).
To do this, an Admin, CM Admin, or user with appropriate permissions will start by creating the Term names, and then adding the term to your Course Set.
- Navigate to System Settings.
- Under the Options column, select Terms.
- In the Name field, enter the name of the term as you would like to see it.
- This will be appended to the end of your Course Set when you attach it to a program, but won't show within catalog.
Next, return to the System Settings, and select Course Sets from the Other Settings column and locate the Course Set you need to append the Term for.
In this example, you can see that there are two Course Sets titled 'Math Core Curriculum'.
As the Course Sets currently show, they both contain the same title. If you try to add them to a program as they currently are, there is no method for telling them apart:
However, if you select the Course Sets and edit them - you can select a Start Term from the drop-down menu. The term will the year first, followed by the term name you provided.
To ensure that the two course sets were for the year 2024, select the year followed by the term. In this example, 2024 Spring was selected for one course set, and 2024 Summer was selected for the other.
Now that the course sets have terms, if you return to the program and attempt to add them, you'll see the name of the core followed by the term - helping you to easily identify them.
Once they have been added, the term is no longer shown - keeping the term hidden.
