Form Gadgets

Each of the various forms are designed to facilitate the creation, approval and referencing of curricular data, and allow for customization through the use of gadgets. The gadgets used within forms allow users to enter data, select an option from a list, determine what is available for reporting, and can be used to indicate what content will appear within your Catalog.

This section will cover each of the gadgets that are available within forms and their basic use case, as well as noting any other specific attributes such as whether it can be used to route items in the workflow, hide content with Progressive Disclosure, or display within the Catalog.

Any changes to your form configuration will need to be completed by our Support Team, and can be requested by your institution's Designated Support Contact. You can see the specific changes available for each gadget in the Configure a Form article.

Activities

Allows users to enter in the various activities a course may contain and the relative amount of credit and hours each activity is worth.

Use Case:	For detailing the different activities associated with a particular course, such as lecture, lab, etc.
Gadget Specific Settings:	Can determine credit to activity hours ratio, such as specifying that 1 lab credit is equivalent to 3 contact hours

Addenda

Allows proposers to attach and addendum to their draft proposal and to send out an invitation for another user to add a comment on a proposal. In order for this to function, the Show Addenda Feature Flag must first be enabled.
An additional option will appear on the top-right of the form titled, 'Addendum' and will allow the user to enter a request and select a user.

Once submitted, the user will receive an email notification and see the draft on their Dashboard, and details of the request will appear on the form under the Addenda gadget.

Use Case:	A proposer wants the include the support of another professor for their proposal to create or change a course, program, etc.

Alias

Allows users to add multiple aliases (alternate subject code/number combinations) to a course and validate the combination against existing courses rather than creating multiple records for a course where the only difference is the subject code/number.
When used, the provided alias will appear in parenthesis next to the code for the course, and can also be used to search for courses.

Use Case:	Links courses shared across two or more departments with different subject code and number combinations.

Checkbox

Displays a single checkbox, functioning as a true/false option. The text associated with the checkbox can be customized.

Use Case:	Use when a user is required to make a single selection, such as a true/false statement.
Gadget Specific Settings:	Can select to be checked by default If checked by default, all future proposals will have the field selected. Past records will not include the value unless the record is edited. Can be used to set another gadget on the form's value to null when the checkbox is unchecked

Checkboxes

Displays multiple checkboxes, allowing users to select one or more options.

Use Case:	Use when a field may have one or more value selected, such as when indicating whether a course can be taught at the undergraduate and/or graduate levels.
Gadget Specific Settings:	No limit to number of available options, however they are specific to this single field No specific limit is forced, however it is suggested to keep the number of options to 12 or fewer  To provide a list of options that may be selected for use in multiple fields, or to provide more than 12 options, see the Options Checkboxes. Course Typeahead

Allows a user type into a field to search for and select a single course from a list of courses.

Course Multiselect

Allows a user to search for and select multiple courses from a list of courses.

Credits

Allows users to specify the number of credits a course is worth.

Use Case:	Determining the credit value for a specific course, and allows the Omega Rules gadget to total the number of credits

Date Picker

Provides a calendar to allow users to select a specific date. 

Use Case:	Selecting the Catalog Activation Date to determine when content should be visible within the Catalog

Dependencies

Lists all other items where the current proposal (e.g., course, program) is included in another proposal's rules gadget.

Use Case:	Displays when a course change proposal may impact a program that includes the existing active course

Double Text

Displays two text fields next to each other with the option of adding a comparison word in between (e.g., or, and, etc.).

Use Case:	For use whenever two values should be associated with a single field.

Dropdown

Displays a dropdown menu with values entered in the field configuration.

Use Case:	Use to provide a predetermined list of options for a user to select a single value from.

File Upload

Allows users to upload one or more files to a proposal.

Use Case:	Supporting documents for a proposal (e.g. course syllabus) Supporting documents for items discussed in a curriculum approval meeting

Foreign Courses

Allows for a course to be linked from one institution to another.

Use Case:	ENG275 is offered at Campus A, Campus B, and Campus C. When a user at Campus A proposes changes to the course, the linked courses will display the differences between the items for review.

Groups Multiselect

Allows users to search for and select multiple groups by category (e.g., department).

Use Case:	Any form field that requires a user to select one or more groups (e.g., departments, colleges), for example, indicating the department or college that oversees their proposal.

Groups Typeahead

Allows users to search for and select a single group by category (e.g., department).

Use Case:	Any form field that requires a user to select from an existing group (e.g., department, college), such as when selecting which department their proposal belongs to.

Inherit From Typeahead

Allows a user to identify a related item in order to inherit the data associated with it.

Use Case:	If a user were creating a new specialization, the gadget will allow the user to select the associated program in order to inherit related data.

Inheritance

Once an item is identified in the Inherit From gadget, this will populate the associated data.

Use Case:	If a user were creating a new specialization, once the user identifies an item in the Inherit From gadget, the Inheritance gadget will display the data of the inherited item.
Gadget Specific Settings:	The information displayed must be configured - one gadget may be displayed at a time, although multiple inheritance gadgets can be used on the form. The state of the information may be set to view only, copy, or override. When View Only is selected, the field will show as a non-editable field and reflect the information on the parent, and update as the parent is updated. When Copy is selected, the user can then potentially edit the field, but the next time the proposal is edited the field will be overwritten with the information from the parent. When override is used, the proposal will inherit the data from the parent the first time the proposal is created - but if the user edits the field, then their changes override the information shown. Future changes to the parent will NOT update the field again if the user has edited it.

Item Multiselect

Allows users to search for and select from a list of items (e.g. courses, programs, etc.).

Use Case:	A user needs to indicate all dependent programs associated with a course or program that they are proposing changes to, and this gadget allows them to select one or more programs potentially affected by their changes.
Gadget Specific Settings:	Must be configured to display a single item type only (e.g. only select courses OR programs) One or more items may be selected at once Items will be shown for display only; they will not create clickable links Items will show in reports as a comma seperated list Items linked will NOT create a list of items that are visible within the catalog.  Only the Course Multiselect gadget can be displayed on the catalog, which is separate.

Linked Institution Subject Codes

Allows users within an institution system (for example, a community college system or  multi-campus system) to view an automatically generated subject codes and numbers used at their linked institutions.

Use Case:	A user at a campus within a community college system is proposing a new course. This gadget allows the user to view if that subject code and number combination are used at any of the linked institutions.

New Specializations

Allows users to view an automatically generated list of specializations associated with that program.

Use Case:	A single program may have multiple specializations associated with it. This gadget provides an automatically generated list of all specializations that list the selected program as the parent.

Number Builder

Automatically generates an available number for a subject code based on conditions applied (e.g., level of course).

Use Case:	A user is creating a new course and needs an associated number to pair with the subject code. This gadget allows the user to indicate the subject and level associated with the number, and the system can then automatically generates an unused number to pair with the subject code.
Gadget Specific Settings:	To use this gadget, an option type must be created for studyLevel. The following additional fields must also be present on the studyLevel option type: type: Text, Label: min type: Text, Label: max type: Text, Label: prefix type: Text, Label: postfix A gadget must be added to the form to select the varying level. For example, an options radio gadget may be used to select from the studyLevel options. Once generated, the number field will be automatically populated based on the generated number. Used ONLY on the course form

Omega Rules

Allows users to outline the requirements for programs or courses.

Use Case:	A user is building the requirements for a new program and needs to include complex logic. This gadget allows users to draw from predefined list of rules in the system.
Gadget Specific Settings:	Rules language (e.g., Completed vs. taken) can be configured by the institution Can display rules based on categories such as year (e.g., Freshman year), general education, electives, etc. Can automatically calculate the number of credits, if the credit gadget is used.

Allows users to select a one or more options from a predefined list.

Outcomes

Allows users to define or pull from a list of learning outcomes associated with a course or program. Outcomes can be linked between courses, programs and institutional outcomes.

Use Case:	A user needs to indicate the learning outcomes associated with a proposed new course and include how those outcomes are linked to the program outcomes associated with it.

Percentage List

Allows users to select one or more preconfigured options and associate a percentage to each, with a total at the bottom.

Use Case:	A user needs to indicate the activity breakdown of a proposed new course broken out between lecture, assignments, lab, etc. This gadget allows the user to select from the preconfigured list of activity types and assign a percentage to each.

Program Typeahead

Allows users to search for and select a program.

Use Case:	A user needs to indicate a related program that may be affected by their proposed changes to a course. This gadget allows the user to select a single program that may be associated.

Proposal Owner

Allows users to select from all users in the system to manually determine the owner of a proposal.

Use Case:	A user is filling out a proposal on behalf of another user and wants that user's name indicated on the proposal and included in workflow notifications.

Radios

Displays a radio button set that allows the user to make a single selection. Options are predetermined in form configuration.

Use Case:	For use when users are required to make only one selection from a predetermined list, such as when selecting whether their proposal is related to undergraduate or graduate levels.

Rich Text

Allows users to insert rich text into a proposal (e.g., bold, italics, underline, bulleted lists, etc.)

Use Case:	Any instance where users need or are required to submit a large amount of text with abilities to format that text into paragraphs, stylize the text, etc. (e.g., a course or program description).
Gadget Specific Settings:	WYSIWYG Editor for data input and formatting. May be set to read-only. *If the field is set to read-only, users will not be able to modify this information, nor will it appear in reports or on the catalog.

Table

Allows users to build a table by specifying the number of columns and default number of rows.

Use Case:	For use for any data a user needs to enter that should be structured into a table, such as demonstrating a sequence of courses for lock-step programs, building a degree map for publication in the catalog, etc.

Tags

Allows users to tag proposals with preset list.

Use Case:	For use when an institution has determined appropriate tags for proposals with which to filter by, such as graduate, undergraduate, general education, etc.
