Overview
The following are common scenarios with instructions for how to use reports to isolate the needed data. Form field names are generalized for instructional purposes and may vary based on your institution's configuration. For additional help with a specific scenario, submit a request.
All items with a specific start term
All items with a specific subject code
All proposal(s) at a certain workflow step
Number of days proposal(s) have been at a step in the workflow
All items within a college or department
All active, in review, retired, etc. items
How do I find all items with a specific start term?
- From within the desired report, click Configure Columns in Actions tab in the right-hand panel.
- If needed, add the Start Term field to the report by clicking the checkbox next to the field name.
- Click the Filters tab in the right-hand panel.
- Click the slider to enable advanced filters.
- Click Select Form Field and select the Start Term field from the dropdown.
- Select an operator (e.g., is, contains, is empty).
- Select or enter an operator.
- Click OK.
How do I find all items with a specific subject code?
- From within the desired report, click Configure Columns in Actions tab in the right-hand panel.
- If needed, add the Subject Code field to the report by clicking the checkbox next to the field name.
- Click the Filters tab in the right-hand panel.
- Click the slider to enable advanced filters.
- Click Select Form Field and select the Subject Code field from the dropdown.
- Select an operator (e.g., is, contains, is empty).
- Select or enter the desired subject code.
- Click OK.
How do I find all items currently at a certain workflow step?
- From within the desired report, click Configure Columns in Actions tab in the right-hand panel.
- If needed, add the Workflow Step field to the report by clicking the checkbox next to the field name.
- Click the Filters tab in the right-hand panel.
- Click the slider to enable advanced filters.
- Click Select Form Field and select the Workflow Step field from the dropdown.
- Select an operator (e.g., is, contains, is empty).
- Select or enter the desired subject code.
- Click OK.
How do I know how long a proposal(s) has been at its current workflow step?
- From within the desired report, click Configure Columns in Actions tab in the right-hand panel.
- If needed, add the Workflow Steps field to the report by clicking the checkbox next to the field name.
- If needed, add the Days at Workflow Step field to the report by clicking the checkbox next to the field name.
- Click the Filters tab in the right-hand panel.
- Click the checkbox next to the “Review” status.
How do I find all items in a college or department?
- From within the desired report, click the Filters tab in the right-hand panel.
- In the Groups section, select a department or category by typing in the search area or clicking within to enable the dropdown.
How do I find all active, in review, retired, etc. items?
- From within the desired report, click the Filters tab in the right-hand panel.
- In the Status section, click the checkbox(es) to enable filtering by the appropriate status.
