A step only allows for the selection of a single role at a time; so if you have multiple people in the same role - they'd all receive that notification. However, in some cases, an institution has created a user account using a group email, and they use the group email to send a notification to multiple people instead. When this is done, be aware that if you treat the group email as an approval step, anyone who logs in would appear as the collective 'group' rather than an individual user.
So for example, instead of a user account that is set up as:
- First Name: Jack
- Last Name: Black
- Email Address: JBlack@institution.edu
You might set up an account like this:
- First Name: Curriculum
- Last Name: Committee
- Email Address: CurriculumCommittee@institution.edu
Then you can select Curriculum Committee to use on the step, and have it send an email to everyone who receives that email. For institutions who do this, they typically only use this account for sending the custom notifications; rather than using them for approvals or acknowledgements on steps in a process.
