Workflow Role Delegation

    Hi Jamie,

A delegation tool would be a great addition and one that I've heard talked through before. Right now if people go on a vacation they don't always ask to have someone added to the workflow but if there is a need then we usually will toss an additional person into the role. For extended leaves or sabbaticals, we replace them in the workflow. I would also entertain the idea of a feature that would enable users to set delegate approvers as needed though.

    Best,

We want to make sure we could turn off this feature.  Our curriculum MUST be approved by faculty and we have concerns that they would allow staff to approve their curriculum with this feature.

    Thanks, as always, Mike!

And fair enough, Susan. So when a faculty member/approver goes on an extended vacation or something, do proposals just sit at their step until they return?

We are looking at best practices, both system-wise and business process-wise. We had an approver suddenly depart this week, which caused us some issues in the workflow.

Good question.  We would like our users to use the delegation function for the purpose of assigning someone else while they are on vacation.  However, our faculty have even gone to the extent of wanting student employees to sign off on curriculum, which should never happen, so I think our best bet is to turn it off.  :-)

Our team has been talking about creating a dummy account for Institutional Admin or something of that nature that could be added as a ad hoc workflow user to approve or move the form back if stranded.  We have SSO setup, but think we can get around that by using the impersonate feature to hop over to that account when we need to act on behalf of someone.

Not the most glamourous solution, but it will get the job done.
