Workflow is the approval engine that drives the proposal approval process from the initial proposal submission through to final approval, and every step in-between.
Each item type (programs, courses, experiences, specializations, and policies) has one associated workflow. By using branches, each workflow can be customized based on the needs of the process.
Workflow is initially set up as part of the initial implementation, but Admins are able to continue modifying the workflow as needed to ensure it meets the needs of their processes.
Workflow is accessed by navigating to System Settings, Workflow Settings, and then selecting the workflow for the item type you would like to modify. Note that Proposal Groups and Agendas do not use workflow.
Workflow Elements
A workflow is made up of a handful of key elements:
- Step
- A component of the workflow such as an approval, acknowledgment or notification.
- Step Label
- A customizable label to help identify the the various steps of a workflow. This is helpful when reviewing steps on a proposal, or identifying them within a report.
- Branch
- Creates a path in the workflow based on values on the form. A branch may includes two or more routes that include the steps (e.g., approval, acknowledgment) specific to the proposal. Proposals can be routed based on data gathered from form gadgets, for example, such as whether a proposal is requesting that a new program be created or an existing program be modified.
